Privacy Policy
Your privacy matters. This policy explains what information we collect, how we use it, and the steps we take to keep it secure when you use our remote notarization and apostille services.
Last updated: September 24, 2026
1. Information we collect
- Identity information: full name, date of birth, and government-issued photo ID details required for identity verification.
- Contact information: email address, phone number, and mailing address for scheduling and document delivery.
- Session data: video recordings of notarization sessions, identity verification results (KBA and biometric), and signed documents.
- Technical data: IP address, device information, and usage data collected automatically when you visit our site.
2. How we use your information
- To verify signer identity as required by law and platform standards.
- To schedule, conduct, and complete notarization and apostille services.
- To retain session recordings and records for the legally required 5-year period.
- To communicate with you about your sessions, documents, and account.
- To comply with legal obligations and protect against fraud.
3. Identity verification
Identity verification is performed through Knowledge-Based Authentication (KBA) and biometric checks on the NotaryCam platform. This process is required by law and is designed to confirm that you are who you claim to be. International clients are not required to provide a US address or Social Security Number.
4. Session recording & retention
Every remote notarization session is recorded. These recordings, along with associated identity verification data and signed documents, are retained for 5 years in accordance with Virginia law and applicable RON standards. Access to recordings is restricted and governed by legal process.
5. How we share information
We do not sell your personal information. We share information only as necessary to provide our services — for example, with the NotaryCam platform, the state authority processing apostilles, or shipping carriers delivering your documents. We may also disclose information when required by law or to protect against fraud.
6. Data security
We use industry-standard safeguards to protect your information, including encrypted transmission and secure storage through the NotaryCam platform. While we strive to protect your data, no method of transmission or storage is completely secure.
7. Your rights
You may request access to, correction of, or deletion of certain personal information we hold about you, subject to legal retention requirements. To make a request, contact us at scheduling@clickfornotary.com.
